What does TOPdesk do / what is TOPdesk's software?

TOPdesk builds service management software. It is an ITSM (IT Service Management) platform that helps organizations keep their internal services running smoothly. If someone’s laptop won’t connect or they need access to a new tool, they log it in TOPdesk and the right team picks it up. Of course, our tool is not limited to IT departments only, but used extensively across domains, such as HR and Facility. TOPdesk has over 700 colleagues across 8 countries, headquartered in Delft, the Netherlands. Our offices are located in Antwerp, Ballerup, Budapest, Charleroi, Delft, Kaiserslautern, London, Manchester, Orlando, Sao Paulo, and Tilburg. Visit our contact page for full office details.

Application & Hiring Process

How does the application process at TOPdesk work?

After you apply, a recruiter reviews your CV and motivation letter. If it’s a match, you’ll move into one or more interview conversations, typically using the STAR (or STARR) method to talk through real examples from your own experience. Some interview processes end with a short case exercise.  

The goal throughout the application progress is an honest, two-way conversation. Together, we want to figure out if there’s a good match between you, TOPdesk, and the challenges of the role. 

How many interview rounds are there, and what happens in each?

Most roles at TOPdesk start with a screening call, followed by two interview rounds. Management and director roles typically go through a few more. You’ll always find the exact process explained in the vacancy itself. 

What is the STAR method, and why does TOPdesk use it in interviews?

STAR stands for Situation, Task, Action, Result, often extended to STARR with an added “Reflection” step. TOPdesk uses it to explore real examples from your past rather than hypothetical answers, specifically to check for the traits that matter most here: being customer-focused, initiative, independent, responsible, and eager to learn. (Besides, there are role specific traits.) There are no “wrong” answers; the goal is understanding how you think and work, not testing you against a checklist. 

How long does the hiring process usually take?

You’ll hear back from us within a week of applying. From there, the process depends on the number of stages needed for the role. This varies by seniority and complexity, so a junior role might move faster than a more senior one. 

If you’re juggling other interview processes and need things to move a bit faster, just let us know. We’re always happy to speed things up. Ultimately, we want you to make the best decision for yourself, and that’s a lot easier when you can properly compare offers. 

What language do I need to speak to work at TOPdesk?

English is TOPdesk’s internal working language company wide. Often vacancies require fluency in the local language of the country, since you’ll be working directly with local customers or employees. Specific language requirements are always listed in the vacancy.

What should I bring to / prepare for a TOPdesk interview?

Are the job openings listed online still current?

Yes! Our job openings are updated regularly. If a position is listed on our official careers’ website, it’s still open and we’re actively accepting applications for it.

Yes, most roles at TOPdesk follow a hybrid setup, with dedicated office days when you and your team come together in person. Some roles, like Office Management, are on-site every day, since being there in person is simply part of the job. You’ll always find the specifics for your role listed in the vacancy.

What's TOPdesk's salary range?

We publish salary ranges in the vacancies. Your salary depends on your role and level of experience; this is discussed openly with you during the process. What we can tell you: your salary is reviewed every year in a conversation with your manager and a third person, with raises tied to your performance, responsibilities, and growth. What does an average workday at TOPdesk look like?

You’re free to start your day any time between 8:00 and 9:30 AM (in some cases earlier), so you can build your workday around what suits you. The role itself offers plenty of variety, built on freedom, responsibility, and trust. What does onboarding and support look like when you join TOPdesk?

All new employees participate in our company-wide onboarding program, Unified Onboarding. The program combines role-specific training with international sessions alongside fellow new joiners, covering internal services, employment conditions, and professional skills development. Each new employee is also paired with a personal buddy to support their integration, alongside continued guidance from their manager throughout the first year.

How is personal development and impact discussed during performance reviews?

Once a year, you request 360-degree feedback from colleagues and stakeholders and write your own personal reflection. Together, these form the basis of your annual performance review, which you discuss with your manager and a third person. Halfway through the year, there’s also a lighter check-in: just you and your manager, based on your own self-reflection. It’s a chance to sharpen your goals and check you’re still on the right track.

Does TOPdesk offer internships?

Yes! At the moment, internships are only available at our headquarters in Delft, the Netherlands.

Tips for Applying & Interviewing

How should I structure my CV for a TOPdesk application?

Keep it clear and logically ordered so it’s easy to identify how your profile matches the role you applied for: use bullet points to summarize what you did, list the impact of your actions, mention targets (when applicable), and what you initiated in past roles.

Lead with whichever is more recent and relevant. Ideally, your most recent job, or your most recent study, whichever applies. Applying for a development role with relevant coding experience? Put the languages you’ve worked with near the top.

What should I include in my motivation letter?

Treat it as a complement to your CV, not a repeat of it. Use it to explain why you’re applying and why TOPdesk specifically appeals to you at this point in your career. What are you looking for that you haven’t found elsewhere? Ground your key experience and competencies in one or two concrete examples rather than a list of responsibilities; we’re more interested in the impact you’ve had than the titles you’ve held.

What questions should I prepare to ask during my interview?

Go in with specific questions rather than generic ones. Swap “how many countries are you in?” for “what are my international opportunities here?”, or “how big is the team?” for “what are the dynamics like in the team I’d be joining?” Good areas to ask about: onboarding, what a typical workday looks like, whether you’d get a buddy, how much attention goes into personal development, and how often the team interacts with customers.

Is there a test or case exercise as part of the interview process?

Most interview processes include a case exercise. In some cases, you’ll be asked to prepare something in advance. In others, it’s designed to be done on the spot. Either way, your recruiter will always walk you through exactly what to expect before that stage of the process.

What personality traits does TOPdesk look for in candidates?

What is the dress code for a job interview?

TOPdesk has no dress code, for interviews or on the job. You’re welcome to wear whatever makes you feel most like yourself, whether that’s jeans and sneakers or something dressier. If it helps to have a benchmark: think smart casual, the kind of outfit you’d wear to meet a friend’s parents for the first time. Comfortable, put-together, still you.
